MBA AI Assistant — Terms of Use & Privacy Notice

1. Overview

The MBA AI Assistant (“the Assistant”) is an experimental artificial intelligence chatbot provided by Much Better Adventures Ltd. It is intended to support users with general queries and to enhance their experience of our website and services.

Use of the Assistant is subject to these terms, along with our general Terms of Use and Privacy Policy. If you do not agree, please do not use the Assistant.

2. Intended Use

The Assistant is designed for informational and support purposes only.

It:

  • may occasionally generate incorrect or incomplete responses;

  • does not provide legal, financial, or safety advice; and

  • should not be relied upon for booking, travel, or other contractual decisions.

MBA may suspend, update, or withdraw the Assistant at any time without notice.

3. User Responsibilities

You agree not to:

  • use the Assistant for unlawful, abusive, or misleading purposes;

  • attempt to extract, reverse engineer, or access underlying systems;

  • submit personal or sensitive information that you would not wish to be processed (such as names, addresses, booking references, or payment details);

  • provide content that infringes third-party rights.

Your use of the Assistant must comply with all applicable laws.

4. Conversation Data

4.1 What We Store

We store the entire conversation thread for each interaction you have with the Assistant. This data is hosted on secure Heroku systems within the EU.

We use these records to:

  • measure usage and system performance;

  • manually review sample interactions to assess quality;

  • apply AI tools to evaluate and improve responses;

  • monitor and prevent misuse.

Conversation data is retained for up to 90 days and then deleted or anonymised. Aggregated, non-identifiable usage data may be stored indefinitely for analytics and reporting.

4.2 Personal Information

At present, the Assistant operates anonymously. We do not link conversations to individual user accounts unless you explicitly identify yourself in a message.

Automated and manual filters are used to detect and redact personal identifiers (for example, email addresses or phone numbers). These filters are not foolproof; some personal information may still pass through.

If you believe personal data has been inadvertently stored, please contact us at hello@muchbetteradventures.com and we will delete it promptly.

4.3 Future Functionality

In future, the Assistant may:

  • associate conversations with logged-in user accounts (for example, a “My Conversations” feature); and

  • access user or booking data to provide personalised assistance.

If these capabilities are introduced, we will update this notice and the Privacy Policy to describe how that data will be used.

5. AI Processing and Data Transfers

Conversations are processed through third-party AI services, including OpenAI and Anthropic.

These providers may process data on servers located outside the UK or EU. We ensure that any transfers are subject to appropriate safeguards, including the UK/EU Standard Contractual Clauses.

6. Security

We maintain reasonable technical and organisational measures to secure stored data, including encryption in transit and restricted access. However, no online service is entirely secure, and you use the Assistant at your own risk.

7. Legal Basis and User Rights

Where any personal data is processed, it is done so under the lawful bases of:

  • legitimate interests (to operate and improve the service); and

  • consent (where you voluntarily provide personal information).

Under the UK GDPR, you have the right to:

  • access, correct, or delete personal data;

  • restrict or object to processing; and

  • lodge a complaint with the Information Commissioner’s Office (ICO).

8. Disclaimers and Liability

The Assistant is provided “as is” and “as available”, without any warranties of accuracy or reliability.

MBA accepts no liability for losses or damages arising from use of or reliance on responses generated by the Assistant, except where such liability cannot be excluded by law.

9. Updates

We may update these terms from time to time. The latest version will always be available at  https://help.muchbetteradventures.com/mba-ai-assistant-terms-of-use-privacy-notice. Continued use after publication of updates constitutes acceptance of the revised terms.

10. Governing Law

These terms, and any dispute arising out of them, are governed by the laws of England and Wales. The courts of England and Wales shall have exclusive jurisdiction.
